Team '25 Europe: Sponsor Rules and Regulations

Please review the sponsor Rules and Regulations below in their entirety. A breach of the Rules and Regulations may result in termination from the Sponsorship Program, or Atlassian may, in its sole discretion, revoke or withhold any future sponsorship benefits or offerings from the sponsor.

The following practices are not permitted during planning or within the expo hall:

  • Guerilla Marketing (Unconventional and disruptive tactics are not allowed)
    • Examples: Flash mobs, unapproved pop-up activations, handing out flyers in an unauthorized area, or using the mobile app chat to promote your services or products in an unsolicited manner.
  • Distribution of promotional items or collateral outside of your booth footprint
    • Examples: QR codes, stickers, pins, or branded merchandise handed out in hallways or public spaces
  • Lead scanning outside of your booth area
    • Permitted exceptions: Scanning attendees at AMO activation or other approved instances as outlined in the event guidelines.
  • Amplification or sound disruption
    • Bringing amplification equipment or playing sound at a volume that disrupts the expo floor or neighboring booths is prohibited.
    • Examples: Loudspeakers, microphones, or music systems used without prior approval.
  • Signage placement
    • Placing banners, posters, or other signage outside your designated booth area, such as in hallways or near entrances is prohibited
  • Direct sales (the exchange of merchandise for money)
    • Selling items directly at the event is not permitted
    • Examples: Selling branded T-shirts, gadgets, or other merchandise at your booth
  • Hosting customer events during conference hours
    • Sponsors cannot host customer events, sessions, large meetings, or similar activities during official conference hours. All customer event details must be submitted through the Exhibitor Resource Center (ERC) for review and approval by the Atlassian team.
  • Approval of design assets and content files
    • All booth graphics, videos, whitepapers, and other materials must be submitted for approval by Atlassian before use.
    • Examples: Logos, booth graphics, white page content, and session content.
  • Visiting other booths
    • Sponsors may visit other booths as attendees for networking purposes. Soliciting products or services in digital event chats, Braindate spaces, or at other sponsor booths is not permitted.
    • Examples: Promoting your services in another sponsor’s booth or during their session, or sending unsolicited promotional messages to attendees via the mobile app chat.
  • Completion of sponsorship tasks by deadlines
    • All sponsorship-related tasks must be completed by the deadlines listed in the ERC to ensure smooth event execution.
  • Last-minute changes to assets
    • Any last-minute changes or updates made to assets (logos, booth graphics, whitepapers, demos, content deliverables, videos, etc.) submitted after the deadline indicated in the ERC are not guaranteed to be accepted.
  • Disruptive behavior and misconduct
    • Any actions that disrupt the event or hinder the experience of attendees, sponsors, or staff—whether in-person or virtual—are strictly prohibited. Atlassian event management reserves the right to remove sponsors from the event if their participation or behavior is deemed disruptive. Examples include:
      • Disrespectful behavior towards event staff, vendors, other sponsors, or attendees.
      • Misusing the mobile app chat or Braindate space for unsolicited promotions or sales pitches.
      • Pulling customers or attendees away from the event or other sponsor booths.
      • Engaging in competitive practices that undermine fellow sponsors or Atlassian-hosted activities.
  • Badge sharing
    • Sharing badges between your onsite team is strictly prohibited. This is an event violation as it compromises event security. If discovered, all individuals involved will be immediately removed from the event, and the sponsor may face additional penalties, including fines or exclusion from future sponsorship opportunities. Each team member must have their own badge to ensure compliance and maintain a secure event environment.

The following items are not permitted within the expo hall:

  • Roll-up and free-standing signs: Only approved booth signage is allowed.
  • Balloons:Includes all types, such as mylar or helium balloons.
  • Flags or banners: Must be integrated into the provided booth structure.
  • Prize wheels: Games or activities that disrupt the expo floor are prohibited.
  • Floor-standing monitors: Unless arranged through Show Services.
  • Boxes on the show floor: All packing materials must be removed before the expo hall opens to the public.
  • Affixing materials to the building structure: No adhesives, nails, or other methods that damage the venue.
  • Drones: Use of drones or other aerial devices is strictly prohibited.
  • Pyrotechnics: Open flames, fireworks, or similar items are not allowed.
  • Non-flame-retardant materials: Items such as oilcloth, tar paper, or certain plastics are prohibited.
  • Fuel-powered vehicles: Vehicles on display must comply with strict safety regulations.

Booth Setup and Maintenance:

All Team '25 Europe Sponsorships are Turnkey Booth properties utilizing square footage to address various sponsorship levels. The turnkey booth property includes items such as physical structure, wireless internet access, electricity, and custom booth signage.

  • Turnkey setup: Booths are pre-designed to align with sponsorship levels. Customizations must be pre-approved by Atlassian.
  • Storage: No items may be stored between or behind booths. Utilize accessible storage provided by Show Services.
  • Staffing: Booths must be staffed during all expo hours. Staff must wear their own badges at all times.

Atlassian enforces all Policies and Agreements consistently across all events. Any violations will be documented and reviewed by the Atlassian Executive Team. Sponsors found in breach of these policies will receive a formal written notification of the offense. Non-compliance with the established policies will result in the following disciplinary actions:

**All fines that Sponsors incur throughout the conference will be donated to an Atlassian-selected Foundation.

1. Verbal Warning - Given upon sponsor’s first offense

2. Yellow Card - Given upon sponsor’s second offense; resulting in a $1,000 fine

3. Red Card - Given upon sponsor’s third offense; resulting in a $2,500 fine

4. 2nd Red Card - Given upon sponsor’s fourth offense; resulting in a $5,000 fine and inability to sponsor at Team ‘26 or Team '26 Europe.
